Accounts Payable Clerk: Job Description [Updated for 2024]
We are looking for a detail-oriented and organized Accounts Payable Clerk to join our team. As an Accounts Payable Clerk, you will be responsible for processing and managing all invoices received for payment and for undertaking the payment of all creditors in an accurate, efficient, and timely manner. Your role will include reconciling vendor accounts, preparing reports, and assisting with month-end closing processes.
To succeed in this role, you must have a solid understanding of accounting principles and a keen eye for detail. You should be able to work independently and manage your time effectively to meet deadlines. Strong communication and problem-solving skills are also important for this position.
Responsibilities
- Process and enter invoices into the accounting system accurately
- Match invoices with purchase orders and receiving documents to ensure payment accuracy
- Prepare and process weekly check runs
- Reconcile vendor accounts and resolve any discrepancies or issues
- Assist with month-end closing processes, including preparing reports and analyzing accounts payable data
- Maintain accurate and up-to-date vendor files
- Respond to vendor inquiries in a timely and professional manner
- Collaborate with other departments, such as Purchasing and Receiving, to resolve any invoice or payment discrepancies
- Assist with audits by providing necessary documents and explanations
Requirements
- High school diploma or equivalent; associate degree in accounting or finance preferred
- Proven experience as an Accounts Payable Clerk or in a similar role
- Strong knowledge of accounting principles and practices
- Proficient in using accounting software and Microsoft Office Suite, particularly Excel
- Excellent data entry and accuracy skills
- Ability to prioritize tasks and meet deadlines
- Strong attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Knowledge of Generally Accepted Accounting Principles (GAAP) is a plus.
